Privacy Policy

Who we are

Holistic Kin, Inc. (“Holistic+Kin,” “we,” or “us”) is a 501(c)(3) nonprofit organization (EIN 41-4702140) supporting Black men and boys. This policy covers holistickin.org and, for now, holistickin.com.

Our shop at shop.holistickin.com is run separately and has its own privacy policy.

What we collect

What you give us.

• Get Involved form: your name, email, what you're interested in, and your message.
• Newsletter: your email address and first name.
• Provider application: contact details, professional type, license and insurance information, resume, an optional photo, specialties, formats, the states or locations you serve, whether you're accepting new clients, your best days and times for sessions, and references if you do not hold a state license.
• Therapy Fund application: your name, contact details, age range, the kinds of support you're looking for, whether you've seen a therapist before (optional), your session format and times, which situation best fits your access to care, and any preferences or notes you add. For a boy under 18, we also collect his parent or guardian's contact details.
• Fellowship application or nomination: the submitter's contact details and relationship, the young man's first name, age, grade, and county, his parent or guardian's contact details, and short notes about fit, availability, and support needs.
• Donations: your name, email, and gift details. Payments are handled by Givebutter, so we do not receive or store your full card number.

What we collect automatically. We don't use analytics or advertising trackers on our own pages. The tools we embed may collect technical information, such as your IP address and device type, when you use them.

What we don't ask for. We do not ask for Social Security numbers, bank details, diagnoses, treatment notes, medications, trauma history, or medical histories. Please don't include them in any form or message.

How we use it

• To answer your messages and requests.
• To send updates if you joined our list. You can unsubscribe at any time.
• To review and process applications, and to verify providers' credentials.
• To connect people with providers through the Alma Gethers Therapy Fund.
• To list approved providers in our Directory.
• To process donations and send receipts.
• To keep the site working.
• To meet legal and accounting requirements.

Sensitive information

Some applications involve mental health needs or financial need. We ask only for what we need to review the request, and never use it for marketing. Applications are seen only by our Executive Director and our Clinical Director. We share information with a matched therapist only if the applicant is approved and agrees. We share the applicant's name, contact details, session format and times, the kinds of support they chose, and any provider preferences. We do not share their answers about insurance or barriers to care.

Clinical records

Your therapist keeps your clinical records, such as diagnoses, treatment notes, and medical history. Holistic+Kin does not ask for these and does not receive them. To pay a therapist for approved sessions, we receive only confirmation that sessions took place, such as the dates and the number of sessions.

Children and youth

This site is not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without a parent or legal guardian's involvement.

A parent or legal guardian completes any application for a youth under 18 and gives consent before services begin. If someone nominates a young man for the Fellowship, we contact his parent or guardian for consent before he is enrolled. If you believe we have information about a child that we should not have, email us and we will delete it.

Who we share it with

We do not sell your personal information.

We share information only with:

• Service providers that help us run the organization, such as Mailchimp for email, Givebutter for donations, our website host, and our form tool.
• Matched providers, with the applicant's consent, so they can offer care.
• The Directory, where approved providers' names, photos, credentials, short bios, and whether they are accepting new clients appear with their consent. Providers can ask to be removed from the Directory at any time. We do not show best days and times publicly; we use them only to match providers with clients.
• Authorities or others when the law requires it, or when we believe someone is in immediate danger.

Cookies

Cookies are small files your browser stores. Our site uses only what it needs to make pages and forms work, and we don't use analytics or advertising cookies. Tools we embed, such as the Givebutter donation widget, may set their own cookies. You can block or delete cookies in your browser settings, though some parts of the site may not work as well.

Email

Every email we send has an unsubscribe link. We do not share our email list.

How long we keep it

• Newsletter details: until you unsubscribe.
• Application records: 2 years.
• Donation records: 7 years.
• Anything else: only as long as we need it for the reasons above.

Keeping it safe

We use reasonable safeguards, including limiting who can see sensitive information. No system is completely secure. Please do not send sensitive details by regular email, and use our forms instead.

Your choices

You can ask us to show you the information we hold about you, correct it, or delete it. Email connect@holistickin.com and we will reply within 3 to 5 business days. We may need to keep records that the law requires.

If you live in Georgia, Maryland, Washington, DC, or Virginia, you may also have rights under your state's privacy laws. Tell us what you'd like to do and we will honor valid requests under the law that applies to you.

Not an emergency service

Holistic+Kin does not offer emergency services. If you or someone you know is in crisis, call or text 988. If someone is in immediate danger, call 911.

Other websites

Our site links to other organizations, such as Candid and Givebutter. They have their own privacy practices, and we are not responsible for them.

Changes to this policy

If we make significant changes, we will tell people who are subscribed to our newsletter, and we will update the date at the top of this page.
